About the Boosters

Liberty Hill Band Boosters (LHBB) is a 501(c)(3) non-profit organization that supports the Liberty Hill Panther Band and Color Guard. The Boosters provide financial support for most of the Panther Band and Guard’s basic operating expenses. We buy instruments, pay for the music and marching shows, pay for contest entry fees and transportation, and cover the entire cost of the Color Guard.

Our Band Booster group is constantly involved in fund-raising efforts to cover these expenses (and more). We also support band programs at Liberty Hill Middle School and Santa Rita Middle School with contributions and in-kind support.

What do the Liberty Hill Band Boosters do?

In our effort to support the LHISD band directors and students we sponsor many fundraising events throughout the year. Funds raised allow the Boosters to help defray the costs of:

  • Instrument purchases, maintenance, and repair

  • Marching music, drill design, field props, and equipment

  • Technicians and Clinicians for band, percussion, and color guard

  • Provide merit scholarships to band seniors

  • Provide financial assistance for participation costs through an application process.

  • Uniform repairs and replacement

  • Equipment Trailers and transportation

There is more to being a booster than money though; the boosters also provide physical and moral support to our bands by moving equipment, chaperoning trips, cheering from the stands, and much more.

Every parent is a member of the Band Boosters, and we need everyone's support and participation. We communicate to band/guard families through e-mail, Booster meetings and our band website, www.lhpantherband.org. Please visit the Calendar page to check for important dates and check Charms to make sure the e-mail address listed in your student’s profile is correct, as this is the e-mail address we will be using to send communications.

If you need assistance with updating your information in Charms, please send an e-mail to one of the directors. If you are not receiving e-mails on a regular basis, there is most likely an issue with the e-mail information in Charms.

Band/Guard Booster Executive Leadership meetings will be held on the second Monday evening of each month at 6:30 p.m. in the Liberty Hill High School Band Hall. Fall meetings are crucial to organize fundraising activities and keep abreast of marching season needs; spring meetings include competitions, election of new officers and planning for next year. We urge all band/guard parents to attend and welcome your input!

Payments by Check to the Band Boosters

Checks should be made payable to the Liberty Hill Band Boosters, and according to LHISDguidelines, should include your driver’s license number and home phone number. There will be a $25 fee assessed for any returned items.

If a check is returned by your bank, please contact the Treasurer, (treasurer@lhpantherband.org), to make arrangements to repay the check and pay the $25 returned item fee. If returned items remain outstanding, any future payments (for band trips or other items) will be applied first to the outstanding item, and you may be required to make future payments in cash, money order, or cashier’s check.

Booster Officers

    • Call and chair all meetings as provided in the bylaws.

    • Set and publicize the meeting agenda at least 24 hours prior to the meeting and preside at
      all regular and special meetings of the LHBB.

    • Appoint special committees including but not limited to Hair, Sponsorship, Chaperone as
      the need arises.

    • Distribute various communications and news stories to the general population that promote
      LHBB and the LHISD Band Programs through the Director(s), email, and communication
      app.

    • Preside over the Executive Board.

    • Act as liaison between the LHBB and the Band Directors.

    • Obtain approval from the Band Director(s) and Executive Committee before authorizing
      the acceptance of funds or goods that are offered to the organization.

    • Serve as signatory on checks, when needed.

    • Coordinate events with other LHISD Booster Club Presidents, if possible.

    • Maintain records of all presidential duties and best practices to pass on to their successor.

    • Other duties prescribed by these bylaws and by the parliamentary authority adopted by this
      organization.

    • Check LHBB post office box on a weekly basis.

    • Preside as President in his/her absence.

    • Serve as signatory on checks, when necessary.

    • At the Fall semester General Membership meeting, he/she will prepare and present a
      timeline of all known events occurring during the fiscal (school) year. Events are subject to
      change. These events include, but are not limited to:
      — General Membership and Executive Committee Meetings
      — Football games
      — Marching Competitions
      — Concerts
      — Spring Competitions
      — Band Trips

    • Coordinate activities among the various committees, as needed.

    • Be responsible for volunteer information and background checks.

    • Maintain records of all Vice Presidential duties and best practices to pass on to their
      successor.

    • Other duties prescribed.

    • Obtain approval of all fundraising activities or solicitations of funds in the name of the
      organization from the Executive Board, the Band Director(s), the Principal(s) as
      appropriate to the circumstance.

    • Be responsible for and oversee all fundraising activities sponsored by LHBB.

    • Research and develop fundraising activities.

    • Design, print and/or obtain all material necessary for completion of any planned
      fundraising event.

    • Report to the Executive Board and General Membership the status of all ongoing
      fundraising activities.

    • Act as liaison between the organization and the Band Directors for all matters pertaining to
      fundraising activities.

    • Be responsible for creation and coordination of sub-committees, as needed, for various
      fundraising events which may include but are not limited to: annual mulch fundraiser, Winter Concert raffle baskets, golf tournament, garage sale, recycling
      drives, or any other fundraising event voted on by Executive Board and/or General
      Membership.

    • Maintain records of all fundraising activities and best practices to pass on to their
      successor.

    • Keep an accurate and cumulative record of the minutes of the meetings. Copies of all
      minutes of the General Membership Meetings shall be kept on file with the band directors,
      as is stipulated by UIL regulations. These minutes may be sent via email in lieu of a hard
      copy.

    • The minutes of the Executive Board Session are in a separate document distributed only to
      members of the Executive Board and not distributed to the General Membership.

    • Maintain the meeting sign-in list for Executive Committee and General Membership
      meetings.

    • Be responsible for the postings and/or distribution of recorded minutes of the General
      Membership Meetings within one week following a meeting. A posting on the LHBB
      website will be sufficient.

    • Be responsible for any correspondence or acknowledgment letters for organization
      activities including, but not limited to, thank you cards, and any other correspondence the
      Executive Board may deem necessary.

    • Have a copy of the bylaws available at each meeting.

    • Advise on matters of parliamentary procedure.

    • Act as vote tabulator in all voting matters.

    • Clarify bylaws when needed.

    • Serve as signatory on checks, when needed.

    • Maintain records of all secretarial activities and best practices to pass on to their
      successors.

    • Complete any other duties prescribed by these bylaws and by the parliamentary authority
      adopted by this organization.

    • Act as custodian of all LHBB funds.

    • Receive, deposit and disburse all LHBB funds as directed by the General Membership. As
      a precautionary measure, once monies are collected and counted the Treasurer must have
      the collected funds reviewed and certified, in writing, by at least one other member of the
      Executive Board. All cash receipts must be deposited within four (4) business days.
      Certification of collected funds must match deposit receipts. In the event the Treasurer
      cannot make a deposit, another member of the Executive Board will make the deposit
      according to the guidelines outlined above.

    • Maintain a working financial ledger on each account of receipts and disbursements.
      Reconcile bank statements monthly and report back to the Executive Committee.

    • Make a financial report at each Executive Board, General Membership and Special
      Meeting.

    • Present the following to the Executive Board and the Band Director(s):
      — An annual record of account by July 15th of each year for audit. The members of the
      Executive Board can call for additional audits at any time deemed necessary.
      — Sales Tax reports, if applicable
      — 1099’s, if applicable
      — File a periodic report within 30 days of the close of the LHBB Fiscal Year once
      every 4 years with the Secretary of State
      — File a yearly tax return within 4 months of the close of the LHBB Fiscal Year
      — Provide any other information requested by LHISD, the Principals, the Band
      Directors and the Executive Board, regarding financial operations, upon request as
      deemed necessary.

    • Serve as signatory on checks, when necessary.

    • Maintain records of all activities and best practices to pass on to their successors.

    • Complete any other duties prescribed by these bylaws and by the parliamentary authority
      adopted by this organization.

    • Act as liaison between the LHBB, the Color Guard, and the Band Directors.

    • Organize Volunteers for Winter Guard.

    • Be responsible for creation and coordination of sub-committees, as needed, for various
      needs voted on by the Executive Board and/or General Membership.

    • Maintain records of all activities and best practices to pass on to their successors.

    • Complete any other duties prescribed by these bylaws and by the parliamentary authority
      adopted by this organization.

    • Create and distribute various communications and news stories to the general population
      that promote LHBB and the LHISD Band Programs through the use of social media.

    • Prepare new (if applicable) and/or regularly update LHBB website content. The website
      must include the most current set of LHBB Bylaws, UIL Guidelines for Booster Clubs, and
      the most recent meeting minutes.

    • Serve as Google workspace super admin facilitating email addresses for board members.

    • Provide communication to the community in support of fundraisers, events, and other
      LHBB and band activities.

    • Foster a positive community relationship on behalf of the LHISD bands and band program.

    • Maintain a member database.

    • Maintain records of all activities and best practices to pass on to their successors.

    • Obtain approval of all events planned in the name of the organization from the Executive
      board and the Band Director(s) prior to implementation.

    • Be responsible for and oversee all event planning activities sponsored by LHBB, including,
      but not limited to, the Band Banquet, team building, or band trips, excluding travel
      for games and/or contests.

    • Arrange venues, food selection options, and pricing to meet the budget determined by the
      Executive Board and General Membership.

    • Act as liaison between LHBB Treasurer and venues, caterers, and registered attendees to
      ensure payment arrangements are met in a timely manner.

    • Coordinate and monitor event timelines and ensure deadlines are met.

    • Coordinate event logistics, including registration and tracking, presentation and materials
      support.

    • Report to the Executive Board and General Membership the status of all ongoing event
      planning activities.

    • Act as liaison between the organization and the Band Directors for all matters pertaining to
      event planning.

    • Be responsible for creation and coordination of sub-committees, as needed, for various
      events voted on by the Executive Board and/or General Membership.

    • Maintain records of all event planning and best practices to pass on to their successor.
